Our Commitment

Board Secure Limited t/a Governance360 is committed to transparency about our use of artificial intelligence technologies. This statement explains how we currently use AI in our services and how we may use it in the future.

Current Use of AI

Customer Support and Knowledge Base

We use AI technology within our Intercom customer support platform to help answer your questions more efficiently. This AI:

  • References only our published help documentation and ‘how to’ guides
  • Provides quick responses to common questions about using our platform
  • Does not access, analyse, or learn from your organisation’s data
  • Does not make decisions about your account or services

Plain English Notes: When you ask a question in our help centre, AI helps find the right article from our support guides. It’s like having a very fast search function that can understand your question in natural language. It only looks at the instructions we’ve written about how to use our platform—never your actual business data.

What We Don’t Do

We want to be clear about what we do not do with AI:

  • We do not use AI to access, process, or analyse customer data stored in your Governance360 or Director Academy accounts
  • We do not use your organisation’s data to train AI models
  • We do not share your data with third-party AI providers
  • We do not use AI to make automated decisions about your account, billing, or service provision

Plain English Notes: Your business data stays yours. We’ve built our platform without AI in the core application, and any data you add—board papers, minutes, compliance records—is never touched by AI systems. When we say “customer data,” we mean anything you create, upload, or store in your account.

Our Principles for Future AI Use

Any future AI development will follow these principles:

  1. Customer data protection: We will not use individual customer data to train or develop AI models
  2. Transparency: We will clearly communicate when new AI features are introduced
  3. Opt-in approach: Where appropriate, AI-powered features will be optional
  4. Human oversight: Significant decisions will always involve human review
  5. UK data protection compliance: All AI use will comply with UK GDPR and Data Protection Act 2018

Plain English Notes: As technology develops, we might add features that use AI to spot trends or patterns—but only by looking at how people use the platform in general, never by reading your specific documents or data. Think of it like analysing which buttons people click most often, not what they write in their documents. If we do add AI features, we’ll tell you first and explain exactly what they do.

Under UK data protection law, you have rights regarding how your data is processed. These include:

  • The right to know how your data is used
  • The right to object to automated decision-making
  • The right to request human review of any automated decisions

This AI Use Statement is designed to comply with:

We regularly review our AI practices to ensure ongoing compliance with UK law and best practices.

Refund Policy for Academy Products

Our Director Academy modules are digital products that cannot be refunded once opened or started, in accordance with the Consumer Contracts Regulations 2013. This applies regardless of whether AI is used in delivering the content.

Plain English Notes: When you buy a learning module from Director Academy and start using it, we can’t offer a refund—this is standard for digital content under UK law, similar to downloading a film or ebook. This policy isn’t related to AI; it’s just how digital products work legally.

Changes to This Statement

We will update this statement when we make significant changes to how we use AI. We will notify existing customers of material changes via email and through our platform notifications.
